Which administrative tasks are worth automating?

Automation does not mean removing people or turning every process into a complex system. The best automation removes repetitive steps, reduces errors and leaves decisions requiring judgement to people.

Start with repetitive and predictable processes

A good candidate for automation is usually a task that occurs frequently and follows relatively clear rules. Examples include registering a request received through a form, creating a task when a status changes, sending an internal notification or updating a follow-up date.

The more stable the process, the easier it is to automate. If every case requires a different decision, human involvement should remain and only supporting steps should be automated.

Follow-ups and reminders

A large share of administrative work consists of remembering that something is still pending. Reminders can be created automatically when an invoice reaches its due date, when a quotation has had no response for several days or when a file needs review.

This does not mean sending indiscriminate automated messages. The system can simply alert the responsible person so that they review the situation and decide the appropriate action.

Key idea: organise the process first; then decide which parts should be delegated or automated.

Moving information between tools

Manually copying data from a form into a database and then into a spreadsheet takes time and creates errors. Tools such as Make can connect applications and move information according to defined rules.

Airtable, Microsoft 365, forms, CRMs and project management tools can work together. The goal is to avoid duplication and establish one reliable source for each type of information.

Reporting automation

When data is structured, much of recurring reporting can be prepared automatically. A dashboard can update expenses by category, outstanding collections, project activity or task status without rebuilding the information from scratch every week.

Human involvement remains important for interpreting the data and identifying unusual situations. Automation simply makes sure the information is available at the right time.

Where artificial intelligence fits in

AI can be useful for classifying, summarising or transforming information, but it should be applied with appropriate privacy and supervision. It can help prepare drafts, summarise long communications, structure notes or categorise certain information.

Not everything should be sent to an AI tool, especially when working with confidential client information, personal data or financial documentation. Before automating, define what information can be used and what controls are required.

Automate after organising

A common mistake is trying to automate a process that has not yet been properly defined. Before building integrations, document how the process should work manually, who owns each step and what exceptions exist.

Simplify first; automate second. That sequence usually creates more reliable and maintainable systems.
